Summary
Provide assistance and administrative support. Applicant must be able to complete routine office tasks with strong organizational skills, attention to detail, and quality customer service.
Duties
- Greets clients, company personnel, and visitors, directing them to the appropriate party & maintains visitor log book.
- Answers phones and directs incoming calls.
- Responsible for copying functions and communicating copier maintenance requests.
- Picks up and opens all incoming mail and serves as back up for handling outgoing mail processing. Manages Business reply account at post office.
- Purchases and inventories all agency supplies & reconciles WB Mason invoices.
- Prepare various envelopes, mailing labels, and forms and prepare and coordinates fed ex mailings.
- Types dictated material and proofreads all material, to ensure error-free content. Creates & distributes coverage checklist letters.
- Distributes all material as per instructions of requester.
- Secures front entrance at the close of the business day.
- Provide assistance as needed/requested for clerical tasks.
- Performs other functions as assigned by management.
Skills and Abilities
- Must be organized, with demonstrated skills for effective verbal and written communication. Should become familiar with business operations at the corporate level and should develop a good understanding of the agency management system.
- Ability to use computer, calculator, agency automation system, and proficiency in various software programs, including but not limited to Microsoft Word and Excel.
